OVERVIEW

The Alaska Sustainable Energy Corporation (ASEC) is a subsidiary of Alaska Housing Finance Corporation, incorporated in November 2024, and its purpose is to finance and facilitate the financing of sustainable energy developments in Alaska (AS 18.56). The ASEC Program Coordinator will assist the administration of grants and contracts and will collaborate with the Director on program design and operations. This position will engage with a diverse range of stakeholders, contributing technical expertise, and ensuring the efficient administration and compliance of programs. 
 

Reports to: ASEC Director or Designee

SUPERVISON RECEIVED AND EXERCISED: Non-exempt, non-supervisory position.
 

 

EXAMPLES OF DUTIES

  • Administer grants for ASEC, including reviewing agreements, ensuring compliance, program evaluation, reporting, and other duties related to contract/grant management.
  • Manage program-related projects to ensure timely and successful completion.
  • Coordinate logistical details for events and workshops from scheduling to execution.
  • Resource allocation by procuring of necessary supplies, prioritizing funds, and performing outreach duties.
  • Monitor and manage budgets, maintain records/reports to track and reconcile program expenditures against approved budgets using financial management systems.
  • Generate purchase orders, process invoices, and monitor vendor payments.
  • Assist with forecasting and financial reporting for program-related costs.
  • Engage in oral and written communications with a diverse range of stakeholders, including government agencies, financial institutions, industry partners, and community groups.
  • Ensure program compliance with relevant regulations and policies.
  • Conduct necessary process documentation, ensuring program activities comply with internal polices, regulatory standards and data privacy standards.
  • Conduct periodic audits or quality checks to validate integrity and documentation completeness.
  • Support preparation of materials for internal and external reviews and audits.
    • Engage in basic communication and marketing activities to promote corporate and program awareness and engagement.
  • Support the Director in managing a pipeline of prospective clean energy building projects.
  • Design, document, and manage administrative processes efficiently.
  • Manage digital file structures and ensure appropriate access permissions and document control.
  • Assist with the implementations of relevant software, digital tools or platforms supporting program delivery.
  • Other duties as assigned.
 

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of: Energy efficiency, renewable energy programs, and sustainable energy development. Foundational principles of project management or program administration.

Skills in: Attention to detail and process follow-through. Exceptional interpersonal and social skills. Critical thinking and problem-solving skills. Proficiency with common computer software and technology tools to maximize efficiency. Effective research skills. Proficient in Microsoft Office (Excel, Word, PowerPoint.)

MINIMUM QUALIFICATIONS

  • A bachelor’s in business administration, project management, public policy, finance, or a related field. 
  • Three or more years of experience in project management, process documentation, program administration, or high-volume operations (e.g., mortgage processing, grant management.) 
  • Substitution: Applicable work experience may be substituted for education and training on a year-for-year basis.
